Job Summary:
As a Sea Freight Export Specialist, you will manage and coordinate all aspects of sea freight export operations, from booking and documentation to liaising with clients, carriers, and customs authorities. Your primary role will be to ensure smooth and timely shipments for our clients, focusing on service quality, cost-efficiency, and compliance with regulations. This position requires strong communication and problem-solving skills to handle export challenges and deliver excellent customer service.
Key Responsibilities:
Export Operations Management:
- Handle all sea freight export shipments from initial booking to final delivery, ensuring timely and cost-effective transport solutions.
- Coordinate shipment bookings with shipping lines, freight partners, and other third-party providers to secure optimal transit times and rates.
- Monitor and track shipments to ensure adherence to delivery schedules and provide proactive updates to clients.
Documentation and Compliance:
- Prepare and verify all export documentation, including bills of lading, export declarations, certificates of origin, and commercial invoices.
- Ensure compliance with Swiss and international trade regulations, customs requirements, and company policies.
- Manage interactions with customs authorities and other regulatory bodies, ensuring proper classification and documentation for all shipments.
Customer Service and Client Coordination:
- Serve as the primary point of contact for clients, responding to inquiries, providing shipment status updates, and addressing any issues that may arise.
- Provide accurate quotations for sea freight exports, considering factors such as transport costs, customs duties, and other relevant charges.
- Work closely with clients to understand their unique requirements, ensuring that service delivery aligns with expectations and contractual terms.
Carrier and Vendor Relationship Management:
- Establish and maintain strong relationships with carriers, vendors, and other service providers to secure capacity and competitive rates.
- Negotiate rates and service agreements, ensuring favourable terms and quality of service.
- Evaluate carrier performance regularly and provide feedback to ensure compliance with company standards.
Data Management and Reporting:
- Maintain accurate records of shipment details, schedules, and costs in the company's logistics management system.
- Generate and analyse reports on shipping costs, transit times, and other key performance indicators (KPIs) to identify opportunities for process improvements.
- Assist management with insights into export operations and provide input on areas for cost savings and service enhancements.
